Step 1You request a document, by email
Pick the document type, enter the vendor's email, add a note. You don't need to know whether they are on Know Your Vendor yet.

Step 2They get a clear, branded email
It names your company, states exactly which document is wanted, and carries a single link. Nothing to decode.
Step 3They upload. No sign-up needed.
The link lands on an upload screen for exactly that document. Issue date, expiry and reference number are the only fields, and they can create a free account on the same page if they want to keep a history.
Step 4It lands in your vault, hashed and filed
You get an alert and an email. The document is filed under that vendor with its own SHA-256 integrity hash, so either side can confirm it was never altered.
Step 5The trail writes itself
Who requested, who uploaded, when it was shared and when it expires: all of it is recorded automatically in an append-only log, ready for the next audit.
